Job Summary

  • We are seeking a dedicated and experienced Facilities Manager to oversee all building-related activities at our Hyderabad location. You will be responsible for ensuring the proper functioning of the office infrastructure and managing various facilities to ensure a safe, efficient, and pleasant working environment

Key Responsibilities: Facilities Management

  • Ensure all housekeeping, security, and maintenance staff follow
  • established procedures and maintain conduct and grooming standards.
  • Supervise daily activities of helpdesk, security, maintenance, and
  • housekeeping teams.
  • Ensure the proper functioning of office infrastructure and facilities
  • management.
  • Monitor the safe usage of office equipment and maintenance of fire safety
  • equipment.
  • Implement corrective and preventive maintenance schedules.
  • Ensure timely resolution of employee concerns and requests related to
  • facilities.
  • Manage cafeteria and pantry operations.
  • Oversee front office maintenance and call management.
  • Train administration staff on best practices for their roles.
  • Manage deployment and staffing of cleaning and domestic staff for non-
  • technical facilities.
  • Handle inventory control; check and stock stationery, paper, sundries, and
  • issue purchase requisitions.
  • Coordinate with real estate provider for property management,
  • enhancements, refurbishments etc.

Space Management

  • Effectively manage space planning and optimize workspace functionality.
  • Advise business on measures to improve the efficiency and cost-
  • effectiveness of the facility.

Logistics

  • Manage travel booking and accommodation arrangements for associates
  • on official visits.
  • Handle associate relocation management.

Budget And Planning

  • Manage the operations budget and prepare MIS reports, ensuring cost
  • optimization without compromising quality.
  • Collaborate with Finance and HR teams on monthly, quarterly, and annual
  • budgets and procurement planning.
  • Provide regular reports to management on managed activities and cost-
  • saving initiatives.

Employee Health And Safety

  • Participate in the audit process (BCM/BCP) for the administration function.
  • Ensure the center meets health and safety requirements.

Audit & Compliance

  • Efficiently handle various audits such as ISO, ISAE etc as required for
  • numerous client compliances, mandatory regulations etc.
  • Be conversant with relevant procedures related to dealing with vendors
  • and ensure deliverance of desired services as per SLAs. The adherence of
  • the vendor to required statuary norms of Labor Office be ensured by
  • regular checks and audits.

Contract And Procurement Management

  • Oversee all procurement activities for assets, office supplies, and vendors,
  • including requisition processing, contracting, and purchase order
  • processing.
  • Manage vendor accounts, including payment, performance, escalation,
  • and conflict resolution.
  • Handle clearance of tax invoices.
  • Oversee procurement of office equipment and furniture.

Reporting And MIS

  • Maintain MIS data and produce daily, weekly, and monthly reports.
  • Provide regular reports to management on activities managed and cost
  • improvement initiatives.
  • Identify cost optimization opportunities in materials procurement,
  • engineered/designed goods, inventory management, and
  • contracts/services procurement without compromising quality.
  • Prepare the annual facilities budget for all relevant requirements, including
  • capex, opex, and services.

Qualifications

  • Bachelor's degree in Facilities Management, Business Administration, or a
  • related field.
  • Minimum of 8 years of experience in facilities management, preferably in a
  • corporate setting.
  • Strong knowledge of facilities management operations, budgeting, and
  • health and safety standards.
  • Excellent organizational and leadership skills.
  • Proficiency in Microsoft Office Suite and facilities management software.
  • Strong communication and interpersonal skills
