Facilities Administrator - Soft Services Ref:32202 Hyderabad India
The Opportunity
We are seeking a dedicated and organised individual to join our team as a Facilities Administrator.
As a Facilities Administrator, you will collaborate with various departments to assess their needs and ensure that all facilities are equipped to meet those needs. This includes coordinating repairs and maintenance, managing vendor relationships and overseeing facility improvement projects. Additionally, you will be responsible for managing the facility budget, tracking expenses and implementing cost-saving initiatives when possible.
The ideal candidate for this position is a proactive and solutions-oriented individual. You should have a strong understanding of facility management best practices and the ability to effectively prioritize tasks in a fast-paced environment. Strong communication and good organisational skills are required.
Main Job Responsibilities:
Operational management of internal and external service delivery teams, ensuring quality of services provided are continually improved and exceed customer expectations.
Ensure value for money is achieved through robust management of suppliers and measurement of performance.
Coordinate and monitor the contractor management.
Review vendor performance on monthly basis and ensuring to see they perform as per the organization requirement.
Minimize risk and maintain or improve profitability against agreed targets.
Maintain a good relationship to client, supplier and team.
Strategic and technical support giving general advice to customers, peers and team.
Maintain excellent customer service at all times.
Compliance with legislation, Macro processes and life safety procedures.
Build positive relationships with the Invesco Landlord.
Share knowledge with the Facilities teams across all sites and support all team members as and when required.
Manage vending and beverage service.
Comply with all Macro process and procedures.
Inventory management on all assets, consumables, stationery, etc.
Manage fm24 help desk tickets assigned to the site and ensure action for timely resolution is appropriated scheduled and completed within service level agreements.
Coordinate with equipment repair vendors as appropriate or directed by FM for repair or corrective steps for any equipment that is not working.
Support on general work on special projects as necessary.
Manage the procurement, stocking and issuance of office supplies as well as the administrative expenses.
The ideal candidate should possess the following:
Facilities Management experience at a mid level.
Educated to a higher level, Graduation in any stream.
Knowledge of the entire Microsoft Office Suite of Applications
Ability to communicate effectively and be a team player.
Excellent people management skills.
Experience in a customer facing role, flexible and have a positive attitude.
