Job Title: Export Support and Office Co-Ordinator

- Job Overview:The Office administrative and export documentation specialist plays a pivotal role in ensuring efficient administrative operations and seamless export documentation processes within the company. This position requires strong organizational skills, attention to detail, and knowledge of export regulations.
Manage and organize administrative tasks such as filing, data entry, scheduling, and record keeping.- Prepare and process export documentation including commercial invoices, packing lists, certificates of origin, and shipping labels.
Ensure compliance with export regulations and documentation requirements of relevant authorities.
- Understanding and interpreting the terms and conditions of L/Cs issued by buyers to ensure compliance with the sales agreement.
Collaborating with bank- Ensuring compliance with EPCG license conditions, including export obligations and utilization timelines.
Coordinating with government authorities and agencies for the issuance, renewal, or amendment of EPCG licenses as needed.
- Liaise with internal teams such as sales, logistics, and finance to gather necessary information for export documentation.
Liaising with shipping lines and freight forwarders to secure vessel space and book cargo shipments according to customer requirements and delivery schedules.- Optimizing vessel routing and transportation logistics to minimize costs and transit times.
Working closely with international agents, brokers, or intermediaries to facilitate customs clearance, freight forwarding, and logistics services.
- Providing agents with accurate and timely documentation, instructions, and updates to ensure smooth execution of export transactions.
Resolving any issues or discrepancies that arise during the export process through effective communication and collaboration with agents.- Collaborating with banks to process export-related documents, including bill of exchange, shipping documents, and certificates of origin, for payment under L/C or other payment terms.
Coordinate with external partners including freight forwarders, customs brokers, and shipping carriers to facilitate smooth export processes.
- Maintain accurate records of export transactions, shipments, and documentation for audit and reporting purposes.
Provide support and assistance to other departments as needed, including customer service and order processing.- Stay updated on changes in export regulations, tariffs, and trade agreements to ensure compliance and minimize risks.
- Qualifications and Key Skill:
Bachelor's degree in business administration Or Graduate, international trade, or a related field.- Must have 2-3 Years Experience
Proven experience in administrative roles, preferably with a focus on export documentation.
- Strong understanding of export regulations and compliance requirements.
Excellent organizational skills with the ability to manage multiple tasks and priorities effectively.- Attention to detail and accuracy in data entry and document preparation.
Proficiency in Microsoft Office Suite and experience with export documentation software is a plus.
- Effective communication skills and should be fluent in english, both written and verbal.
Ability to work independently as well as collaboratively in a team environment.- Strong problem-solving skills and ability to adapt to changing requirements and priorities.
Certification in export compliance or logistics.- Experience working with international customers, suppliers, or partners
Knowledge of Incoterms and international shipping processes.
- Fluency in additional languages relevant to international trade.
