This is a role for someone who has 2 - 3 years of managing a TRAVEL DESK and has a passion for being an organizer to everyone traveling from the company . This role is dynamic in nature and requires a fast paced attitude to stay on top of duties. You will be organizing travel for the top management and the other departments as required. As a travel desk executive, you will be required to maintain strict confidentiality about travel plans within and outside the organization. Additionally, company rules about travel need to be followed. You will be part of the HR department and regularly be in touch with finance department to manage all documentation and formalities pre and post-travel.
Managing the top management's calendar and any assistance that they may need from time to time with respect to travel.
Managing Corporate card and Expenses, air contract , payment and invoicing
Manage end to end travel plans PAN India and overseas efficiently and cost-effectively airlines, trains, transport, and hotels.
Accurately complete end to end travel requirements of international and domestic travel arrangements for air, hotel, rail, requests for ticketing, fares, routing, and visa requests for Business Travel
Handle visa applications and formalities promptly and without errors.
Should have good knowledge of domestic and international critical itineraries/ routings (Geographical Knowledge is mandatory).
Ensuring that the best rates and travel and stay plans are opted for at all times.
Study on best rates through various travel applications every time there is a travel occurrence.
Providing consultative multi-country routings for best fares and preferred carrier usage on efficient, routings for the lowest available fares and preferred carrier usage in coordination with the Organisation's business travel policies.
Communicate with the person travelling regularly to keep them updated on logistics.
Coordinate and email the plans, booking details to all concerned officials in the organisation.
Manage emergency changes/cancellations in a professional and calm manner.
Ensure each Passenger Name Record contains the standard documentation and documentation for any exceptions handled during the reservation process.
Handle all incoming travel requests and the processes that follow after.
Resolve problematic invoices/cases with highest degree of accuracy and urgency
Update HR on travel/leaves and to be properly recorded.
Prepare the monthly reconciliations of travel documents and expect to work on card reconciliation
Be the primary point of contact for all travel & expense query.
Travel wallet management
Knowledge of various online booking applications and technologies.
Should have good experience in Implants, International Routing &Transit Visa.
Awareness and updates about international travel regulations, customs, and currencies.
Open to work in a flexible environment, public holidays and festivals.
A degree/diploma in Hospitality, Travel, Tourism, Business or relevant field.
Good command of English, written and spoken.
