Job Description: Executive Secretary

Overview

We are seeking a highly organized and proactive Executive Secretary to provide

comprehensive administrative and operational support to a dynamic and globally

oriented executive at PGS/2MC. This role requires a blend of exceptional

organisational skills, strong communication abilities, and a keen eye for detail. The

ideal candidate will be comfortable working in a fast-paced environment,

managing multiple tasks, and adapting to Director's frequent travel and time zone

changes.

Responsibilities
  • Executive Support:

Manage a organized but frequentley updated calendar, coordinating

appointments, meetings, and travel arrangements.

Provide administrative support, including email management, document

preparation, and correspondence.

Coordinate with internal and external stakeholders for seamless

communication and collaboration.

Handle confidential information with utmost discretion.
  • Financial Management:

Oversee expense management, including tracking, reporting, and

reimbursement.

Manage online payments (phone bills, internet, hotel bookings) and

coordinate with the financial controller for fund releases.
  • Travel Coordination:

Arrange domestic and international travel itineraries, including flights,

accommodations, and ground transportation.

Optimize travel schedules and expenses.

Coordinate with Middle East's / global / local contacts for events and

meetings.
  • Digital Presence Management:

Manage the executive's social media presence across platforms (LinkedIn,

Discord, X, Instagram, YouTube, Threads).

Follow the Social Media MarCom strategy and implement a content

strategy to enhance online visibility.

Monitor social media engagement and provide regular responses for

director & share weekly reports.
  • Asset Management:

Assist in the liquidation of two assets in India immdiatley and align Sales

team in Middle East

Research and shortlist potential buyers/sales real estate agent in

india/Middle East for assets in Middle East

Coordinate with legal and financial associates as needed.
  • Event Management:

Provide administrative support for global events attended by the executive.

Find domestic / relevant industry contacts before and resume follow up

with clear objective after Directors personal meetings

Understand Directors data base and align with the specific vision for each

group of people

Coordinate with event organisers and manage logistics.

Qualifications
  • Proven experience as an Executive Secretary or similar role.
Strong organisational and time management skills.
  • MS Excel efficiency and LinkedIn efficient usage is MUST
Proficient in using AI Chat - like Chat GPT, Gemini or similar for frequent

communication/replies.
  • Proficiency in MS Office Suite and relevant software applications.
Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
Flexibility to adapt to changing priorities and travel requirements.
  • Experience in social media management is preferred.
Knowledge of expense management and accounting principles is advantageous.

This role demands a proactive and resourceful individual capable of handling a

diverse workload while maintaining a high level of professionalism. The successful

Pay: 35,
  • 00 - 75,000.00 per month
