We are looking for smart and efficient candidates for the role of Executive Administrator. The person will provide administrative support and help with coordination and other routine activities of the organisation.
RESPONSIBILITIES:
- Maintain team attendance
- Maintain and file all records in a systematic manner.
- Coordinate meetings and functions happening at the office
- Coordinate and execute events being conducted by the organisation at other venues.
- Ability to identify and build good relationships with vendors for conducting such events (venue arrangements, food, transport, gift bags, branding etc.)
- Ability to speak with senior officers and coordinate with them and their team members.
- Helping new hires complete the paperwork necessary to apply for benefits like health insurance etc. and introduce them to co-workers and management.
- Coordinate the day's proceedings (food, snacks, gifts etc.) when clients and important guests visit the campus.
- Distribute memos, notices etc.
- Procurement and Proper management of office supplies and assets
- Taking regular inventory of office supplies
- Ordering office supplies when the inventory is running low
- Maintaining office equipment including scanners, printers, and telephones
- Maintain a repository of all important Documents & Records for easy access (like Purchase Orders, Letters, Contracts, Financial statements etc).
- Maintain and monitor office expenses
- Make travel arrangements, flight/ train booking, cab service and hotel stay, whenever required
- Monitor office catering, lunch management services, refreshments, etc. to ensure Quality & Quantity
- Ensure Office Resources like PCs, Laptops, Printers are used effectively
- Ensure seating and infrastructure availability for all employees
- Monitor and oversee to the general cleanliness of the office
- Maintain office efficiency by arranging for necessary repairs
- Monitor office security arrangements and take precautionary measures wherever required.
- Make monthly reports on attendance, expenses, meetings, visitors, etc.
SKILLS:
- Diploma/ Degree in any relevant field
- Excellent written and verbal communication skills in English
- Proficiency in Hindi language preferred
- Excellent organizational skills and attention to detail.
- Excellent time management skills
- Strong knowledge of MS Office (Word, Excel, PPT)
- Ability to multi-task and prioritize works
- Able to complete complex administrative tasks with minimal supervision
