Greeting Visitors: Welcome and assist visitors in a warm and professional manner, ensuring they sign in and are directed to the appropriate personnel or department.
Phone Management: Answer and direct incoming phone calls to the appropriate staff members, take messages when necessary, and handle basic inquiries.
Administrative Support: Perform a variety of clerical and administrative tasks including data entry, filing, photocopying, and scanning documents.
Mail Handling: Receive, sort, and distribute incoming mail and packages; prepare outgoing mail and packages for dispatch.
Scheduling: Assist in scheduling and coordinating meetings, appointments, and conference rooms.
Record Keeping: Maintain and update visitor logs, employee contact lists, and other essential records.
Office Supplies: Monitor and maintain office supplies inventory, placing orders as needed and ensuring supplies are stocked.
Safety Protocols: Ensure all visitors are aware of and comply with the plant's safety protocols and procedures.
Cleanliness: Maintain the cleanliness and organization of the reception area and meeting rooms.
Other Duties: Perform Ad hoc responsibilities as and when assigned.
