Job Purpose
Back Office is the portion of a company made up of administration and support personnel who are not client facing. Back Office positions carry out functions such as settlements, clearances, record maintenance and so on.
Duties and Responsibilities
Accepting bookings from Sales Team and getting introduced to Customer for future reference.
Entering new bookings in Software and preparing files for the same. Also informing Accounts Dept for their reference.
Preparing Allotment Letter/Reservation Letter/Welcome Letter as per instructions.
Sending demand letters to Customers as per work of progress.
Following up with Customers/banks for payments/disbursements.
Sending reminder letters/mails to Customers for the outstanding payment.
Updating details of payments received in software.
Getting confirmation from Accounts Dept for any RTGS/NEFT done by Customers.
After Customer's mail & Account's confirmation for RTGS/NEFT, preparing receipt for the same and showing in collection.
Printing receipts from Software.
Informing Stamp Duty charges & Registration fee & Scanning Charges information to Customers and asking them to make the payments & following up for the same for Registration of Documents.
Also informing about the Service Tax & GST as applicable and collecting them.
Getting Agreement confirmation form filled from Customer for preparation of the Agreement.
Getting letter sanction of Bank from Customer, if he is opting for loan.
Preparing agreement (if customers opting for loan, after his OCR received & if no loan then after clearing till date outstanding) along with appropriate Annexures.
Preparing Agreement checklist, after entire agreement is ready and processing for accounts signature, Sales Head signature and then Director's signature.
Taking care that the agreement should be complete in respect to complete information regarding Flat No., Consideration, Other Charges, Adv. Maintenance Deposit, Parking No. with Charges, received amount, floor plan, Director's photo, thumb impression, complete in all respects then get Director's signature on Agreement.
If Customer opting for loan, preparing NOC as per bank's format on builders letter head.
Getting Director's signatures on all documents - NOC.
Once we received the Registered Agreement, informing Customer to come and collect it.
If customer has opted for loan, giving NOC, Original Registered Agreement along with a copy, blue print copy of his floor plan, new demand letter.
