The ideal candidate will be responsible for providing comprehensive administrative support, managing daily operations, and ensuring smooth communication within and outside the organization.
Key Responsibilities:
1. Administrative Support: - Manage and maintain the Director's schedule, including appointments, meetings, and travel arrangements. - Prepare and edit correspondence, communications, presentations, and other documents. - Handle incoming and outgoing communications, ensuring timely and accurate responses.
2. Project Management: - Assist in the planning and execution of projects and special initiatives as directed by the Director. - Coordinate with various departments to ensure project deadlines are met.
3. Meeting Coordination: - Organize and coordinate meetings, conferences, and events, including preparing agendas and minutes. - Ensure the Director is well-prepared for all meetings and events.
4. Data Management: - Maintain confidential files and records, ensuring data accuracy and integrity. - Conduct research and compile data to prepare reports and presentations for the Director.
5. Communication: - Serve as a liaison between the Director and internal/external stakeholders. - Facilitate effective communication and follow-up on pending matters.
6. Office Management: - Oversee office supplies and ensure the Director's office runs efficiently. - Handle any ad-hoc administrative tasks as required.
Qualifications: Education: Bachelor's degree in Business Administration, Management, or a related field. Experience: Minimum of 5 years of experience as an Executive Assistant or in a similar administrative role.
Skills:
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and manage multiple tasks simultaneously.
- Discretion and confidentiality in handling sensitive information.
- Strong problem-solving abilities and attention to detail. Preferred Qualifications:
- Previous experience working with senior management in a fast-paced environment
- Knowledge of the chemical or manufacturing industry.
