Job Description

Job Summary: The Executive/Personal Assistant will provide comprehensive administrative support to the Director, ensuring efficient operation of the office. This role requires a detail-oriented individual with excellent organizational skills and a strong understanding of HR practices.

Key Responsibilities:

Managing Schedules:

  • Coordinate and manage the Directors calendar, including scheduling meetings, appointments, and travel arrangements.
  • Ensure the Directors schedule is organized and up-to-date, prioritizing tasks and commitments effectively.

Handling Communications:

  • Serve as the primary point of contact for internal and external communications on behalf of the Director.
  • Handle incoming and outgoing communications, including emails, phone calls, and correspondence.

Preparing Documents:

  • Prepare MoM, communications, presentations, and other documents.
  • Ensure all documents are accurate, well-organized, and professionally presented.

Prioritizing Work:

  • Identify and address urgent matters promptly and efficiently.

Handling Sensitive Information:

  • Maintain confidentiality and handle sensitive information with discretion.
  • Ensure compliance with company policies and procedures regarding data protection and privacy.

Making a Good Impression:

  • Represent the Director and the company in a professional and positive manner.
  • Interact with clients, partners, and stakeholders with courtesy and professionalism.

HR Support:

  • Assist in the recruitment process.
  • Maintain employee records and ensure compliance with HR policies and procedures.
  • Assist with employee relations and handle confidential HR matters with discretion.

Qualification

  • Prior experience working as an executive assistant, personal assistant, or any similar role.
  • Excellent knowledge of MS office.
  • Organizing and time management skills.
  • Having used different office applications and gadgets.
  • Outstanding verbal and written communication skills.
  • Graduate or any relevant degree.
