Job Title: Executive Assistant to the CEO
Location: Vasco Da Gama, Goa
Reports To: Chief Executive Officer (CEO)
Employment Type: Full-Time
Salary: 3 Lac to 4 Lac CTC
Experience: 4-5 years as Executive Assistant to a CXO in a medium or large size company.
Skills: Ability to use AI in MS Office.
Roles & Responsibilities :
1. Excellent communication skills
i. Both oral and written
ii. Ability to draft emails and messages
2. Office organization
a. Efficiency in maintaining and retrieving information, storing them in an organized manner in files and folder both
i. Hard copies
ii. Soft copies
3. Knowledge of working with shared documents on Google Sheets
4. Good coordination and liaising skills
a. Within the office, among several departments
b. Outside the office with vendors and customers
5. Understanding of the importance of maintaining confidentiality with respect to documents, and have good integrity and dependability
6. Exercise discretion and be able to prioritise work with a good understanding of differentiating between Important and Urgent tasks versus routine matters that need to be handled, on a day-to-day basis
7. Be able to demonstrate discretion in alerting and escalating issues before they go out of hand
8. Ability to take initiative and not wait to be told. Thinking ahead and understanding what needs to be done to preempt crises situations
9. Knowledge of managing routine functions in a typical office, and supporting HR and Administration with respect to upkeep of the office, office boys, security, pantry etc.
10.Basic knowledge about the functioning of office equipment like copying machines, closed circuit TV, etc.
11. Familiarity with setting up Zoom calls and Google Meets.
12.Working closely with all the departments and stakeholders in the company and coordinating with them to ensure periodic reporting.
13.Recording minutes of meetings and preparing the MOM and sharing the same with all the attendees aer the conclusion of meetings.
14.Managing the meeting schedules on behalf of the Office of the CEO, and ensure that the meeting rooms are ready for the meeting - checking internet connectivity, projection systems, ensuring trivial but important things like stationary, water and other requirements are in place before the start of meetings.
15.Provide all the required administrative support for the office of the CEO.
16.Manage the approval processes for expenditures, and coordinate with the various departments to ensure that the Standard Operating Procedures are being followed by all the departments.
17.Have good time management and interpersonal skills, with a positive attitude.
18.Generally, exude quiet efficiency and a pleasant attitude in the office.
