Job Description

We're seeking a highly organized and proactive Executive Assistant to support the founder in managing day-to-day operations, team coordination, and administrative tasks. This role is critical in ensuring smooth business operations and freeing up leadership bandwidth for strategic growth.

Key Responsibilities:

Team Coordination (30%)

  • Coordinate between different team members (designers, marketers, ops)
  • Follow up on task completion and deadlines
  • Maintain project management tools and track progress
  • Create and distribute meeting minutes/action item

Order Management & Customer Service (25%)

  • Monitor incoming orders across channels
  • Coordinate with operations for order fulfillment
  • Handle basic customer queries
  • Maintain order tracking and documentation

Administrative Support (25%)

  • Handle email correspondence
  • Organize documents in our online drive
  • Maintain org memory (notes, learnings, followups)
  • Coordinate with vendors and suppliers

Sales Support (20%)

  • Maintain customer database
  • Create and send price quotes
  • Follow up with potential clients
  • Prepare basic sales reports
  • Track competitor activities

Required Qualifications:

  • Bachelor's degree in any stream
  • 1-2 years of experience in administrative or coordination role
  • Strong proficiency in MS Office (especially Excel)
  • Excellent written and verbal communication in English and Hindi
  • Basic understanding of social media platforms

Preferred Qualifications:

  • Experience in e-commerce or B2B sales support
  • Knowledge of project management tools (Trello/Asana)
  • Understanding of digital marketing basics
  • Experience with CRM systems
