Job Summary:
We are seeking a proactive and detail-oriented Executive Assistant with 1 year of experience to provide high-level administrative support to our executive team. The ideal candidate will be organized, efficient, and capable of handling confidential information with discretion. This role is crucial in ensuring smooth and effective operations within the executive office.
Key Responsibilities:
- Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Conduct research, compile data, and prepare reports for consideration and presentation by executives.
- Serve as the primary point of contact between the executive and internal/external stakeholders.
- Handle incoming and outgoing communications on behalf of the executive.
- Screen and prioritize emails, phone calls, and other forms of communication.
- Organize and coordinate meetings, conferences, and other events.
- Prepare agendas, take minutes, and ensure follow-up on action items.
- Ensure meeting materials are prepared and distributed in advance.
- Coordinate domestic and international travel arrangements, including flights, accommodations, and transportation.
- Maintain office supplies and manage office equipment.
- Handle confidential documents and ensure proper filing systems are in place.
Qualifications:
- Bachelors degree in Business Administration, Communications, or a related field preferred.
- Minimum of 1 year of experience in an executive assistant or similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- High level of discretion and confidentiality.
- Attention to detail and problem-solving skills.
