Job Description

Marsh McLennan is seeking candidates for the following position based in the DLF, Gurgaon office.

Lead Specialist Executive/Administrative Assistants (Grade D)

What can you expect:

  1. Calendar Management:
  • Coordinate and manage executive calendars, ensuring efficient scheduling of meetings, appointments, and travel arrangements.
  • Prioritize and communicate schedule changes promptly.

  1. PO (Purchase Order) Administration:
  • Generate, review, and process purchase orders and Invoices related to IT vendors
  • Ensure accurate and timely invoicing and resolve any discrepancies.

  1. Meeting Coordination:
  • Plan, organize, and coordinate meetings, conferences, and events.
  • Prepare meeting agendas, documents, and follow-up on action items.
  • End to End Managing Leadership visits

  1. Travel Arrangements:
  • Make travel arrangements, including flight bookings, hotel accommodations, and transportation. Prepare detailed itineraries and ensure travel logistics are seamless.

  1. Documentation and Filing:
  • Maintain organized and up-to-date files, records, and documents.
  • Assist in document preparation, formatting, and distribution.

  1. Office Management:
  • Oversee office supplies and equipment, ensuring a well-equipped and efficient work environment.
  • Handle administrative tasks to support the smooth operation of the executive's office.

  1. Confidentiality:
  • Maintain strict confidentiality regarding sensitive information and executive decisions.
  • Handle confidential documents and information with discretion.

  1. Relationship Management:
  • Build and maintain positive relationships with internal and external stakeholders.
  • Serve as a liaison between the executive and other team members.

  1. Problem Solving:
  • Anticipate and address potential issues, finding solutions to challenges proactively.
  • Take initiative to resolve problems and streamline processes.

  1. Special Projects:
  • Assist in the execution of special projects, research, and presentations as assigned by the executive.
  • Collaborate with other team members to achieve project goals.

To become the go-to person for all IT Administrative Management services in Mercer Tech India

To work closely with the rest of the Global PMO managing Vendor Invoices

  1. Interpersonal Skills:
  • Build and maintain positive relationships with internal and external stakeholders, exercising diplomacy and tact.

  • Represent the executive and the organization professionally in all interactions and communications.

What you need to have:

Bachelors degree in business administration or related field preferred.

Proven experience in portfolio or program management, specifically in managing training budgets and vendor

Proven experience as an executive assistant or in a similar role.

Exceptional organizational and multitasking abilities.

Strong written and verbal communication skills.

Proficient in Microsoft Office Suite and other relevant software.

High level of discretion and ability to handle confidential information.

Detail-oriented and capable of working independently.

Analytical mindset with the ability to use data for decision-making.
