Job Description
- Manage and maintain an overview of the CXOs diary in order to maximize effectiveness of working time and to ensure engagements take forward business priorities as well as take into account other competing demands such as Leadership Team, Management and Board meetings and client work
- Develop a good understanding of, and demonstrable commitment to, Paradigms Mission, Vision, Values and areas of work to assist the CXO in balancing his/her internal and external priorities.
- Assist the CXO in monitoring email and flagging up potential issues that require urgent attention
- Undertake research and basic analysis where appropriate (using the internet) linked to any aspect of the CXOs knowledge and advocacy role or client work, and providing this/her in a timely and appropriate way
- Accountable for coordinating MIS/Governance Review for the organization
- Work closely with other executive level people within the company to ensure linkages with the CXOs work
- Attend meetings with the CXO to provide support or where appropriate attend on his/her behalf
- Manage information flow to and from the CXO ensuring information is filtered, flagged or directed appropriately
- Assist the CXO with his/her preparation for, and follow-up action from Management, Leadership and Board meetings including scheduling and planning time for meeting preparation, drafting or coordination of papers, scheduling meetings, monitoring or undertaking follow-up actions
- Liaise closely with members of the Board and Management Team to prepare for meetings or to track and monitor agreed actions
- Ensure the provision of a high quality, responsive and professional service to both internal and external communications (staff, callers, emails and correspondence and visitors)
Qualifications and skills
1. Education qualification as CA/MBA
2. Should have experience in strategic planning & administrative assistance skills
3. Ability to handle confidential information with discretion
4. Excellent written and verbal communication
