Job Description:
We are seeking a highly organized and detail-oriented Executive Operations Assistant to support the owner of multiple growing companies. This role requires a professional with strong organizational skills and a basic understanding of finance to assist in a variety of administrative and operational tasks. The ideal candidate will be responsible for coordinating business activities, managing schedules, and ensuring smooth operations across multiple ventures.
Key Responsibilities:
- Administrative Support:
Act as a point of contact on behalf of the owner, making calls, following up on tasks, and setting meetings as required.
Take detailed notes during meetings and maintain comprehensive records of discussions and decisions.
Manage and prioritize the owner's schedule, ensuring all tasks, meetings, and deadlines are efficiently organized.
- Operational Coordination:
Coordinate various tasks across different companies, ensuring alignment with the owner's directives.
Help prepare and manage reports, documents, and other materials as needed.
- Task Management:
Organize and manage a fast-paced workload, setting priorities and ensuring all tasks are completed in a timely and efficient manner.
Adapt to a dynamic environment, taking on any task as directed by the owner to support the growth and success of the companies.
Provide updates to the owner on progress, priorities, and any issues requiring attention.
- Scheduling and Coordination:
Schedule meetings, appointments, and other events, ensuring all details are arranged and communicated effectively.
Coordinate with internal teams and external partners to facilitate smooth operations and communication.
- Communication:
Draft and manage email correspondence, memos, and other communication materials on behalf of the owner.
Liaise with different departments and stakeholders to gather information, follow up on tasks, and ensure alignment with company goals.
Qualifications:
- Strong organizational and time management skills, with the ability to handle multiple tasks simultaneously.
- Basic understanding of finance, with the ability to coordinate with finance professionals when necessary.
- At least 2-5 years Experience in executive support or a similar role, with the ability to communicate professionally and confidently on behalf of a senior executive.
- High level of proficiency in Microsoft Office Suite (especially Excel, Word, and Outlook) and other relevant tools.
- Ability to work independently and as part of a team, demonstrating flexibility and adaptability in a fast-paced environment.
- Strong attention to detail and accuracy in all work performed.
Discretion and confidentiality in handling sensitive business information.
