We are seeking a highly organized and proactive Executive Administrative to support our Directors in managing their professional and personal responsibilities. The ideal candidate will be a skilled multitasker with a strong attention to detail and exceptional communication skills. This role requires a high degree of confidentiality and the ability to handle various tasks efficiently.
Key Responsibilities:
Administrative Support:
- Manage and organize the executive's schedule, including meetings, appointments, and travel arrangements.
- Prepare and review correspondence, reports, and presentations.
- Handle phone calls, emails, and other communications on behalf of the executive.
Calendar and Travel Management:
- Coordinate and schedule meetings, conferences, and other events.
- Arrange travel logistics including flights, accommodations, and transportation.
- Prepare travel itineraries and ensure all arrangements are in place.
Task and Project Management:
- Assist with special projects and tasks as required.
- Track deadlines and ensure timely completion of tasks and assignments.
- Organize and prioritize tasks to meet changing demands.
Office and Personal Support:
- Maintain and update filing systems, both electronic and physical.
- Handle personal errands and tasks as needed, including shopping, reservations, and appointments.
- Manage and oversee office supplies and equipment.
Confidentiality and Professionalism:
- Handle sensitive and confidential information with discretion.
- Represent the executive and organization in a professional manner.
