Job Description:
As an Administrative Assistant at 3EA, you will be responsible for providing high-level administrative support to ensure efficient operation of the office. You will support managers and employees through a variety of tasks related to organization and communication. The ideal candidate will be resourceful, a good problem solver, and organized.
Roles and responsibilities:
- Provide general administrative and clerical support including mailing, scanning, faxing, and copying to management.
- Maintain electronic and hard copy filing system.
- Perform data entry and scan documents.
- Assist in resolving any administrative problems.
- Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
- Schedule and coordinate meetings, appointments, and travel arrangements for Managers.
- Maintain office supplies by checking inventory and ordering items as needed.
- Monitor office cleanliness and coordinate with cleaning staff to ensure a tidy work environment.
- Maintain employee attendance records and manage attendance tracking system.
- Coordinate with visitors and handle inquiries.
- Coordinate with service providers such as electricians, plumbers, and carpenters to ensure timely repairs and maintenance.
- Provide support to other departments as needed.
Requirements:
- Knowledge of office management systems and procedures.
- Excellent time management skills and ability to multi-task and prioritize work.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Basic knowledge of MS Office & Excel.
Qualifications:
- Graduation degree preferred.
- 2+ years of experience in an administrative role.
