The company aims to showcase Indian Art globally and create a conducive environment for its growth. AstaGuru ensures a stringent selection process for prime artworks and exquisite antiques in their auctions.

Role Description

This is a full-time on-site role for an Event Executive at AstaGuru in Mumbai. The Event Executive will be responsible for planning and executing art auctions, coordinating with buyers and consignors, overseeing event logistics, managing event budgets, and ensuring a successful outcome for each auction.

Primary Responsibilities

Event Planning and Coordination:

  • Assist in the planning and execution of company events, product launches, previews, client events, etc.
  • Work with internal teams and external vendors to coordinate all event logistics (venue, catering, AV equipment, transportation, etc.).
  • Develop event timelines and schedules, ensuring all deadlines are met.
  • Prepare event materials, presentations, and event signage as required.

Vendor Management:

  • Liaise with vendors, suppliers, and venues to secure contracts and negotiate pricing.
  • Oversee the delivery of event materials and services in accordance with agreements.

Event Marketing and Promotion:

  • Assist with creating marketing materials for events, including digital and print assets.
  • Help promote events through social media, email marketing, and internal communications.
  • Monitor event attendance and respond to inquiries as needed.

Budget Management:

  • Assist in managing event budgets and tracking expenses to ensure events are cost-effective.
  • Prepare cost estimates and maintain accurate records of all event expenditures.

On-Site Event Management:

  • Assist in setting up and managing the event on the day, ensuring everything runs smoothly.
  • Provide on-site support, overseeing the registration desk, managing event staff, and troubleshooting any issues that arise.

Post-Event Activities:

  • Collect feedback from attendees and stakeholders to evaluate the success of the event.
  • Assist in preparing post-event reports, summarizing key metrics (attendance, feedback, ROI).
  • Ensure post-event follow-up with attendees, sponsors, and partners.

Qualifications

  • Event planning and management skills
  • Strong organizational and multitasking abilities
  • Excellent communication and interpersonal skills
  • Attention to detail and ability to work under pressure
  • Knowledge of art and antiques is a plus
  • Bachelor's degree in Event Management, Hospitality, Arts, or related field
