Assess and prioritize Director's emails, drafting responses when necessary, and ensuring timely follow-up on important messages.
- Arrange meetings, appointments, and conference calls for the Director, liaising with internal and external stakeholders to find suitable time slots.
- Assist in scheduling meetings with prospective clients, partners, and stakeholders, ensuring all relevant parties are informed and prepared.
- Prepare agendas, take minutes, and maintain records of meetings. Ensure action items are documented and followed up on.
- Set reminders for important deadlines, tasks, and events. Keep track of the Director's priorities and ensure timely completion of assignments.
- Organize and maintain digital and physical files, including confidential information and sensitive documents.
- Make travel arrangements, including booking flights, hotels, and transportation, and preparing travel itineraries.
- Serve as a point of contact between the Director and clients and external partners, conveying messages accurately and promptly.
- Handle sensitive information with discretion and maintain confidentiality at all times.
