- Directs and co-ordinates the activities of the Front Office
- Department, which includes Room Reservations, Room Assignment, mail and information.
- Ensures proper handing of check-in, check-out, messages and parcels for the Guest by the staff.
- Responds to all guest requests / complaints immediately.
- Ensures proper check on house position, expected arrival, departures, and rooms blocked for VIPs, amenities placed in the rooms.
- Sells hotel facilities through trained salesmanship
- Maintains good ARR by minimizing the discounts
- Takes care of foreign exchange, credit card and handles company billing
- Ensures guest history being maintained and up-dated regularly.
- Updates and informs Front Desk staff on hotel policies and procedures, services and promotions.
- Checks high bill and payments are received by the guests
- Ensures proper handing of guest baggage by concierge and monitors the left luggage if any.
- Ensures relevant documents are sent to the statutory authority on foreign nationals.
- Performs other duties / tasks as may be assigned by management.
- Familiarizes self with new procedures and updates staff at all times.
- Prepares and maintains Front Desk manual for the hotel.
- Communicates the content of the manual to all staff
- Opens and maintains Front Desk/Reception files
- Updates Front Desk/Reception files annually
- Maintains proper recording methods (i.e., logbooks) for different transactions.
Properly maintains all Front Desk files
- Prepares and recommends work schedule on a weekly basis for the Front Office Assistant/ Supervisor, Guest Relations Executive, Concierge and Telephone Operators
- Reviews Front Desk/Reception staff performance on a monthly basis, and takes care/oversees documentation of appraisal on a bi-annual basis.
- Prepares an orientation and training program for Front Desk staff.
- Coordinates and ensures that orientation and training
program is carried out as planned.
- Maintains open lines of communication with other departments to ensure smooth handovers at all times.
