Job Overview:
The Documents & Operations Executive ensures smooth operational processes by managing
documentation, coordinating with internal teams, and supporting workflow optimization. The role demands strong attention to detail, effective communication, and organizational skills to maintain operational efficiency and compliance.
Key Responsibilities:
1. Document Management
Prepare, review, and maintain all import and export documentation, including
invoices, packing lists, bills of lading, and certificates of origin.
Ensure compliance with international trade regulations and company policies.
2. Coordination with Vendors/Agencies/Stakeholders
Liaise with shipping lines, freight forwarders, and customs brokers to ensure timely
and accurate shipment processing.
Collaborate with internal departments, including sales, logistics, and finance, to
gather necessary information for documentation.
3. Import and Export Operations
Monitor and track shipments to ensure timely delivery and resolve any issues that
may arise during transit.
Assist in preparing and submitting customs clearance documents to ensure
compliance with regulatory requirements.
4. Banking Operations
Coordinate with banks to facilitate payment processes for import/export
transactions, including Letters of Credit (LC) and bank guarantees.
Prepare and submit all required banking documentation for transactions, ensuring
accuracy and compliance.
5. Communication with Certification Bodies
Liaise with certification bodies to ensure compliance with industry standards and
obtain necessary certifications for products.
Prepare and submit documentation required for certifications, ensuring timely
renewal and compliance with standards.
6. Data Entry and Record Keeping
Maintain accurate records of all transactions and documentation in the company's
database.
Generate reports on import and export activities, including costs and timelines.
7. Compliance and Risk Management
Stay updated on changes in trade regulations and
customs policies, and implement necessary changes in documentation processes.
Conduct audits of documentation to ensure accuracy and compliance with company
standards.
8. Customer Service
Respond to inquiries from clients regarding documentation and shipment status.
Provide support to clients in resolving any issues related to their shipments.
9. Process Improvement
Identify areas for process improvements in documentation and operations to
enhance efficiency.
Assist in the development and implementation of standard operating procedures
(SOPs) for documentation and operations.
Qualifications & Skills
1. Education
Bachelor's degree in Business Administration, Operations Management, or a related
field.
2. Experience
1-3 years of experience in operations, administration, or document management.
3. Skills
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and documentation
tools.
Excellent organizational and multitasking abilities.
Strong attention to detail and accuracy.
Effective communication and interpersonal skills.
Ability to handle confidential information with integrity.
