The Data Process Automation team specializes in streamlining and optimizing data-driven processes across our organization. We manage and visualize data to unlock insights, design efficient processes through process mining, and implement robotic process automation to enhance operational efficiency. Our goal is to drive innovation and productivity by automating and improving how data and processes are handled.

Join our dynamic team at innovative healthcare company, where you will lead a group of three colleagues in managing and ensuring the accuracy of crucial documentation. Your role focuses on overseeing standards and global standard operational procedures, which are the backbone of our regulatory compliance. This position is pivotal in maintaining the highest standards of operational efficiency and adherence, contributing significantly to our company's success and global impact.

  • Manage team of 3 document specialists

    • Supervise Daily Operations: Oversee the day-to-day tasks of the document specialists, ensuring that deadlines are met and quality standards are maintained.

    • Provide Guidance and Support: Offer mentorship and training to enhance the skills and productivity of the document specialists, helping them resolve challenges and develop professionally.

    • Coordinate Workflow and Priorities: Allocate tasks, manage workloads, and ensure that the team's efforts align with broader project goals and timelines.

    • Conduct Performance Reviews: Regularly evaluate the performance of the document specialists, provide constructive feedback, and implement strategies for continuous improvement.

  • Manage Document within our tool

    • upload Global and Local Document

    • Launch the corresponding workflow

    • Fill in Document metadata

    • Launch, Monitor & Close periodic review

    • Monitor & close document change request

    • Assign Local assessment as per the agreed process

    • Monitor reporting on GOP adherence

  • Deliver required training

  • Answer questions from process owners

  • Interaction with Non GxP Documentation process improvement definition, strategy and technical implementation

  • Contribute to team effectiveness, identify risks, formulate improvement

  • Manage work processes efficiently,

  • Propose, set up and follow up KPI, SLAs and reporting structure

  • Stakeholder management

    • Build and Maintain Relationships: Establish strong, trust-based relationships with key stakeholders to ensure open communication and alignment on goals and expectations.

    • Communicate Progress and Updates: Regularly update stakeholders on the status of projects, addressing any concerns or changes in direction, and ensuring that expectations are managed effectively.

    • Gather and Incorporate Feedback: Actively seek input from stakeholders to understand their needs and preferences, and integrate this feedback into the team's work to enhance outcomes.

    • Facilitate Collaboration: Coordinate and mediate between the document specialists and stakeholders, ensuring that all parties are aligned, and facilitating smooth collaboration to achieve shared objectives.

we are seeking a dedicated and experienced professional with a strong background in document management and team leadership, the pharmaceutical industry as a plus. The ideal candidate will have:

  • Proven experience in leading teams, with a focus on fostering collaboration and ensuring high performance.

  • Expertise in managing documentation systems, and a keen eye for detail in maintaining document accuracy and adherence.

  • Strong organizational skills, with the ability to manage complex workflows and ensure timely completion of document reviews and change requests.

  • Excellent communication skills, capable of delivering training, addressing inquiries, and interacting with various stakeholders.

  • approach to identifying risks, proposing improvements, and enhancing team effectiveness.

  • Experience in setting up and monitoring key performance indicators (KPIs), service level agreements (SLAs), and reporting structures to ensure regulatory compliance and operational efficiency.
