A Document Controller is responsible for managing and maintaining the integrity of a company's documentation systems. This role ensures that all documents are accurately created, stored, retrieved, and updated as needed.
Document Management:- Develop and implement document control procedures and standards.
Maintain a centralized document repository or database.- Ensure that all documents are properly labeled, indexed, and stored.
Control access to documents based on authorization levels.
- Document Creation and Review:
Assist in the creation of new documents, such as contracts, procedures, and reports.- Review documents for accuracy, completeness, and compliance with company standards.
Ensure that documents are properly approved and authorized before release.
Respond to document requests from employees, clients, and external parties.- Retrieve documents from the repository and provide copies as needed.
Document Updates:- Manage document revision processes and track changes.
Ensure that all documents are updated to reflect the latest information.Document Retention:
Implement document retention policies and schedules.
- Ensure that documents are retained for the appropriate period of time.
Document Disposal:
- Manage the disposal of documents that are no longer required.
Strong organizational and time management skills.- Attention to detail and accuracy.
Proficiency in document management software (e.g., SharePoint, Documentum).
- Excellent communication and interpersonal skills.
Understanding of document control principles and best practices.
- Additional Skills (Preferred):
* Experience with quality management systems (e.g., ISO 9001).
- Knowledge of legal and regulatory requirements related to document control.
