Job Description
Document controller is responsible for managing, organizing, and distributing the official documents of a project or an organization. The role involves ensuring that all documents are accurate, complete, and compliant with the relevant standards and regulations. A document controller also maintains the version control and security of the documents, as well as the records of their distribution and approval.
- Establish and implement a document management system that suits the needs and requirements of the project or organization.
- Create and maintain a document register that tracks the status, location, and history of all documents.
- Assign document numbers, codes, and metadata to ensure easy identification and retrieval of documents.
- Review and edit documents for accuracy, quality, and consistency before issuing them to the relevant parties.
- Distribute and archive documents according to the approved procedures and protocols.
- Monitor and update the document management system regularly to reflect the changes and revisions of the documents.
- Respond to requests and queries from internal and external stakeholders regarding document availability, access, and usage.
- Collaborate with other document controllers and project team members to ensure smooth and efficient document flow and communication.
- Prepare reports and statistics on document management activities and performance.
Qualifications
8-10 years with engineering background
