Responsibilities:
Sales Coordination:
Receive and process sales orders from customers, ensuring accuracy and completeness of order details.
Coordinate with the sales team to confirm order specifications, pricing, and delivery requirements. Generate sales invoices, quotations, and order confirmations for customers.
Purchase Management:
Source, evaluate, and negotiate with suppliers to procure materials, products, and services required for production and fulfillment of customer orders. Place purchase orders with approved suppliers, ensuring timely delivery and adherence to quality standards. Monitor inventory levels and collaborate with the procurement team to maintain optimal stock levels.
Dispatch Coordination:
Coordinate the scheduling and dispatch of products to customers based on order specifications and delivery schedules. Liaise with logistics partners, carriers, and warehouse personnel to ensure accurate and timely shipment of orders. Track shipments, monitor delivery status, and address any issues or delays to ensure on-time delivery.
Customer Communication:
Serve as the primary point of contact for customer inquiries, order status updates, and shipment tracking information. Communicate with customers proactively to address any concerns or questions related to their orders.
Documentation and Record-Keeping:
Maintain accurate records of sales orders, purchase transactions, and dispatch activities in the company's ERP system or database. Prepare and maintain documentation related to sales contracts, purchase orders, shipping invoices, and other relevant documents.
Cross-Functional Collaboration:
Collaborate with internal departments such as sales, procurement, logistics, and finance to ensure alignment and coordination of activities. Provide support to other teams as needed to resolve issues, address customer requests, and optimize processes.
