- Calendar Management: Manage the CEO s schedule, including arranging meetings, appointments, and travel itineraries. Prioritize tasks to optimize the CEO s time.
- Communication: Serve as a primary point of contact for internal and external stakeholders, screen emails, phone calls, and other correspondence. Draft responses and handle inquiries on behalf of the CEO.
- Meeting Support: Prepare meeting agendas, attend meetings with the CEO, take minutes, and follow up on action items. Coordinate with executives and departments within the company.
- Document Preparation: Assist in drafting and editing reports, presentations, speeches, and other materials for the CEO. Conduct research and gather data as required.
- Information Management: Organize and maintain physical and digital files, records, and documents. Ensure information is accessible and confidential information is safeguarded.
- Liaison Role: Act as a liaison between the CEO and executive team members, external partners, clients, and stakeholders. Coordinate meetings, facilitate communication, and relay important messages.
- Project Management: Manage special projects or initiatives on behalf of the CEO. Oversee timelines, budgets, and deliverables to ensure successful completion.
- Event Planning: Assist in planning and coordinating company events, board meetings, conferences, and other functions attended by the CEO. Arrange logistics, manage guest invitations, and coordinate on-site activities.
- Expense Management: Handle expense reports, reimbursements, and budget tracking for the CEO s office. Ensure accuracy and compliance with company policies.
- Confidentiality: Maintain strict confidentiality regarding sensitive information and discussions involving the CEO and the company.
- Personal Assistance: Provide personal assistance as needed, such as managing personal appointments, coordinating family arrangements, or handling personal correspondence.
- Strategic Support: Conduct market research, analyze industry trends, and prepare briefing materials for strategic planning sessions to support the CEO s decision-making.
- Problem Solving: Resolve issues and challenges using discretion and judgment on behalf of the CEO when necessary.
- Continuous Improvement: Identify opportunities to streamline processes, improve efficiency, and enhance the effectiveness of the CEO s office.
Qualifications Bachelor s degree in Business Administration, Management, or a related field (preferred).
Proven experience as an executive assistant or similar role supporting senior management.
Strong organizational and time management skills with the ability to prioritize tasks.
Excellent verbal and written communication skills, including the ability to draft correspondence and presentations.
Discretion and confidentiality in handling sensitive information.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to work independently and collaboratively in a fast-paced environment.
Flexibility and adaptability to handle changing priorities and deadlines effectively.
