Job Title: Program- Compliance Associate India (CTC of approx. 8-10 Lakhs)
Role & Responsibilities
- Verifying and maintaining Treatment Eligibility Documentation for Partner Hospitals to ensure compliance with regulatory standards.
- Ensure compliance with specific Donor requirements at partner hospitals.
- Ensure that partner hospitals are compliant with CSR laws & regulation.
- Collecting compliance documents annually, such as Hospital Registration and MSME registration forms, Banking and other KYC documents to maintain regulatory adherence.
- Dissemination of changes and update in Smile Train's policies to the Partner Hospitals as and when needed. Ensuring that partners are applying current Smile Train Policies & Procedures.
- Managing and continually updating the Partner Database to guarantee accuracy and completeness of information.
- Keeping templates and forms up-to-date and easily accessible in a central location for convenient use.
- Centralizing Safety Audit reports, Financial Audit Reports, Partner survey reports, etc., for quick retrieval and reference.
- Handling requests and inquiries regarding new partnerships, professionals, and organizations promptly and ensuring accessibility.
- Generating necessary resources or reports to support the efficient operations of the Programs Team, as needed.
Key Projects or Priorities Driven by this Role
- Streamlining the compliance documentation collection process to enhance efficiency and accuracy.
- Implementing a robust system for maintaining and updating the Partner Database to improve data management and analysis.
- Enhancing the documentation verification process for Treatment Eligibility to ensure adherence to regulatory standards.
- Establishing a comprehensive repository for templates and forms to facilitate easy access and utilization by team members.
- Developing customizable resources and reports to meet the specific needs of different stakeholders and projects.
- Compliance with local CSR laws, specific donor requirements ( related to program reporting).
- Ensuring that partners are compliant with Digital Personal Data Protection Act ( in relation to Smile Train Project).
What gaps is this role going to fulfill
Due to extensive regulatory requirements and the complexity of managing partner relationships and treatment eligibility documentation, this role will bridge the gap in ensuring compliance, data accuracy, and resource availability. It will provide dedicated support in managing these critical aspects efficiently and effectively.

These functions are currently being handled by the existing team; however, there is a need for dedicated focus and expertise to ensure optimal performance and compliance. By assigning these responsibilities to a specialized role, the efficiency and effectiveness of these processes can be significantly enhanced, allowing the existing team to focus on other key priorities and tasks.
