Job Description: Closing Manager
Key Responsibilities:
- Transaction & Client Coordination: Manage the end-to-end process of real estate closings, ensuring all documentation is accurate and deadlines are met, while also serving as the main point of contact for clients, legal teams, and financial institutions. This includes assisting visitors and clients at the office and coordinating communications via phone, email, and in person.
- Document Management & Compliance: Oversee the preparation, verification, and organization of all contracts, agreements, title documents, and any other paperwork required for closings. Ensure all transactions comply with relevant real estate laws and company policies. Maintain proper filing systems and handle front desk administrative duties like updating client records and preparing necessary paperwork.
- Appointment & Schedule Management: Coordinate appointments for client meetings, site visits, and other necessary engagements for the sales team, while ensuring smooth communication between all parties involved in the transaction. Manage schedules and meeting logistics.
- Customer Service & Issue Resolution: Provide exceptional customer service, assisting clients with inquiries and resolving any issues related to the transaction process. Offer support at the front desk, ensuring all visitors and callers are handled professionally and efficiently.
- Office Administration & Reception: Maintain a clean, organized, and welcoming reception area, while also handling basic office tasks such as data entry, scheduling, and documentation preparation. Ensure the reception area reflects the professionalism of the company.
- Deadline & Task Management: Track critical dates related to contracts, payments, and other closing procedures to ensure all tasks are completed on time. Assist in monitoring office workflows, ensuring that all necessary processes are executed efficiently.
Requirements:
- Experience: Proven experience in real estate closings and/or front desk roles, with knowledge of real estate documentation and procedures.
- Skills:
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficient in MS Office and office equipment.
- Knowledge of real estate regulations is a plus.

Preferred Qualifications:
- Bachelor's degree in Business Administration, Real Estate, or related field.
