Job Title: Clinic Manager

Job Overview:
We are seeking an experienced and proactive Clinic Manager to oversee the daily operations of our skin clinic. The successful candidate will play a pivotal role in ensuring the clinic runs efficiently, providing high-quality patient care, and supporting a positive, well-organized work environment. This individual will manage key administrative tasks, coordinate with medical professionals, and optimize clinic resources for smooth and effective functioning.
Key Responsibilities:
Appointment & Patient Flow Management:
Oversee scheduling, manage patient appointments, and ensure an organized flow of clinic activities to minimize wait times and enhance the patient experience.
Doctor's Schedule Coordination:
Maintain and update the doctors calendar, ensuring appointments, consultations, and procedures are efficiently managed with timely communication and necessary adjustments.
Patient Experience & Relations:
Serve as the first point of contact for patients, addressing queries, providing clinic information, and maintaining high standards of customer service to ensure a welcoming and professional atmosphere.
Inventory & Resource Management:
Manage clinic supplies and equipment, ensuring necessary stock levels and timely reordering to avoid any disruptions in service.
Record Keeping & Documentation:
Maintain accurate, up-to-date patient records, billing details, and clinic documentation, ensuring confidentiality and compliance with healthcare regulations.
Staff Coordination & Supervision:
Coordinate the efforts of support staff, ensuring tasks are delegated effectively and the clinic operates seamlessly on a day-to-day basis.
Administrative Tasks:
Handle general administrative duties, including answering calls, responding to emails, and ensuring the clinic is always well-maintained and presentable.
Vendor & Supplier Liaison:
Build and manage relationships with external vendors and suppliers to ensure clinic maintenance, equipment servicing, and procurement of necessary resources.
Compliance & Reporting:
Ensure the clinic adheres to all health regulations, legal requirements, and internal protocols. Prepare reports and performance metrics for management to assess clinic operations.
Qualifications & Skills:
Experience: Proven experience in an administrative or clinic management role, preferably in a healthcare, dermatology, or wellness setting.
Organizational Abilities: Strong skills in organization, multitasking, and time management, with an eye for detail.
Communication Skills: Excellent interpersonal and communication abilities to handle patient queries and coordinate with staff and doctors.
Technology Proficiency: Proficient in MS Office and clinic management software for scheduling, record-keeping, and reporting.
Problem-Solving: Ability to handle challenges in a fast-paced clinical environment with professionalism and tact.
Education:
Bachelors degree in business administration, Healthcare Management, or a related field is preferred.
