Job Description

1. Email/Chat Support

  • Responding to customer queries via email or live chat.
  • Providing solutions or escalating issues to higher-level support when necessary.
  • Maintaining professionalism and politeness in all written communication.
  • Resolving queries within specified timeframes (SLA adherence).

2. Data Entry

  • Accurately entering and updating information into databases or CRM systems.
  • Handling sensitive information with confidentiality.
  • Ensuring error-free data entries and performing regular data verification tasks.
  • Sorting, compiling, and verifying data for accuracy.

3. Back-office Support

  • Handling administrative tasks such as order processing, billing, or document verification.
  • Managing workflows for departments like HR, finance, or operations.
  • Ensuring timely and accurate completion of tasks, including generating reports and documentation.

4. Processing Transactions

  • Managing tasks related to invoicing, payment processing, or handling refunds and reimbursements.
  • Working with finance teams to ensure accurate record-keeping.
  • Verifying transactions and ensuring compliance with company policies.

5. Customer Service via Textual Means

  • Handling complaints, returns, or requests for information by customers using written channels.
  • Maintaining clear, concise, and accurate written communication.
  • Understanding customer issues and providing helpful, timely responses.

6. Technical Support (if applicable)

  • Offering solutions to basic technical problems through chat or email.
  • Guiding customers through troubleshooting processes using written instructions.
  • Collaborating with higher-level technical teams for complex issues.

7. Maintaining Knowledge Base

  • Updating FAQs, product guides, or customer support resources based on repeated queries.
  • Contributing to the internal knowledge base for other employees to ensure standardized responses.

8. Document Management

  • Handling document creation, review, and updating of business-critical documents.
  • Organizing files, records, and other documentation digitally.

9. Quality Assurance and Reporting

  • Tracking and reporting customer interactions, feedback, and response quality.
  • Assisting in identifying process improvements based on customer feedback.
  • Creating daily/weekly reports to analyze performance metrics and outcomes.

10. Time Management and Adherence

  • Meeting deadlines for task completion and adhering to productivity standards.
  • Multitasking across various projects or customer queries while maintaining efficiency.

11. Collaboration with Other Teams

  • Working with other internal departments (like IT, sales, or marketing) to resolve queries.
  • Coordinating with supervisors or managers for escalated issues or process updates.
