We are seeking a skilled Books Production and Logistics Coordinator to manage the complete process of book production and distribution.

Key Responsibilities:

1. Pre-Press Management:

- Oversee all pre-press activities to ensure materials meet quality standards for printing.

- Collaborate with design and editorial teams to finalize layouts, content, and illustrations.

2. Inventory Management:

- Monitor inventory levels and track stock movements to ensure an adequate supply of materials.

- Conduct regular audits to verify inventory accuracy and reconcile discrepancies.

- Coordinate with procurement and warehouse teams to maintain optimal stock levels.

3. Production Coordination:

- Manage relationships with printers and suppliers to ensure timely book production.

- Schedule production timelines and monitor progress to meet deadlines.

4. Order Processing and Fulfillment:

- Receive, process, and prioritize customer orders in accordance with established procedures.

- Coordinate order fulfillment activities, including picking, packing, and shipping.

- Ensure orders are accurately filled and delivered to customers on time.

5. Logistics Management:

- Arrange transportation for inbound and outbound shipments, including trucking, air freight, and ocean freight.

- Negotiate rates and contracts with carriers to optimize cost-effectiveness.

- Track shipments in transit and address any issues or delays that may arise.

6. Supply Chain Optimization:

- Analyze logistical data to identify opportunities for improving efficiency and reducing costs.

- Implement strategies to streamline processes, such as route optimization and inventory consolidation.

- Collaborate with internal teams and external partners to implement best practices and continuous improvement initiatives.

7. Digital Data Management:

- Maintain accurate digital records of all book titles, orders, and inventory levels.

- Utilize software tools (e.g., InDesign) to manage digital assets and prepare files for production.

8. Documentation and Compliance:

- Prepare shipping documents, including bills of lading, export declarations, and customs paperwork.

- Ensure compliance with regulatory requirements and international trade regulations.

- Stay updated on changes in import/export laws and industry standards.

9. Collaboration with Sales and Marketing:

- Work closely with the sales and marketing teams to support promotional efforts and fulfill client needs.

- Create Google Forms for order requests, feedback, and surveys to streamline communication.

10. Communication and Coordination:

- Update and manage WhatsApp groups for real-time communication with teams and vendors.

- Serve as the primary point of contact for vendors, suppliers, and logistics service providers.

- Provide regular updates on shipment status and logistics performance metrics.

11. Quality Control:

- Conduct quality checks on printed materials to ensure they meet company standards and client expectations.

- Address any issues that arise during production or logistics processes.

12. Client Communication:

- Serve as the main contact for clients regarding order status, shipping inquiries, and other logistical concerns.

- Build and maintain relationships with key stakeholders in the education sector.

Qualifications:

- Bachelors degree in Business, Logistics, Supply Chain Management, or a related field (or equivalent experience).

- 2+ years of experience in logistics coordination, preferably in a publishing, distribution, or retail environment.

- Familiarity with inventory management systems and logistics software (e.g., SAP, Oracle, TMS).

- Proficient in Adobe InDesign and other publishing software.

- Strong analytical and problem-solving skills, with the ability to make data-driven decisions.

- Excellent organizational and multitasking abilities, with attention to detail.

- Effective communication and interpersonal skills, with the ability to collaborate across functional teams.

- Knowledge of transportation regulations, customs procedures, and international trade compliance.

- Certification in logistics or supply chain management is a plus.
