The Back Office Executive is responsible for supporting and facilitating the smooth functioning of the company's operations. This role involves handling administrative tasks, managing data, ensuring compliance with company policies, and providing assistance to the front office and other departments as needed.
Data Management:- Entering and updating data in the company's database and ensuring its accuracy.
Managing and maintaining records, files, and documents in an organized manner.- Generating reports from the data for management review and decision-making.
Documentation:- Preparing, reviewing, and processing documents such as invoices, purchase orders, and contracts.
Ensuring that all documentation complies with legal and company requirements.- Managing confidential and sensitive information with discretion.
Administrative Support:- Assisting in the coordination and implementation of office procedures.
Handling correspondence, including emails, letters, and memos.- Scheduling meetings, appointments, and managing calendars for executives or departments.
Customer and Vendor Support:- Communicating with clients and vendors to resolve queries, provide information, and maintain relationships.
Processing orders, ensuring timely delivery, and managing after-sales service.- Coordinating with suppliers to ensure timely procurement and inventory management.
Compliance and Reporting:- Ensuring compliance with company policies, procedures, and industry regulations.
Preparing and submitting reports related to business operations, finances, and performance metrics.- Assisting in internal and external audits by providing necessary documentation and information.
Technology and Systems:- Using office software (e.g., MS Office, ERP systems) to manage and automate routine tasks.
Troubleshooting minor technical issues related to office equipment and software.- Providing support in implementing new systems or software within the company.
Team Coordination:- Working closely with front office staff to ensure a seamless workflow.
* Coordinating with various departments (e.g., HR, Finance, Operations) to support their functions.
- Assisting in training new employees on company policies and procedures.
