- Job Summary: We are looking for an experienced and motivated Assistant Manager to oversee the facility management and operations of our coworking spaces. The ideal candidate will have a strong background in facility management, particularly in soft services, and will be responsible for ensuring that our coworking spaces are safe, clean, and efficiently managed to provide an excellent experience for our members.
Facility Management:
- Oversee the day-to-day operations of coworking spaces, including maintenance, repairs, and safety checks.
Manage facility-related contracts and vendor relationships, ensuring high-quality service and cost-effectiveness.
- Coordinate with the Facility Manager to plan and execute preventive maintenance schedules for all facilities.
Ensure compliance with health and safety regulations, including fire safety, sanitation, and emergency procedures.Soft Services Management:
Supervise and manage the housekeeping, security, and catering teams to ensure optimal service delivery.
- Monitor and maintain the cleanliness, hygiene, and overall ambiance of the coworking spaces.
Handle waste management, pest control, and other soft services to ensure a comfortable working environment.- Implement and maintain standard operating procedures (SOPs) for soft services to ensure consistency and quality.
Operations:- Assist in managing day-to-day operations, including member services, space allocation, and event coordination.
Coordinate with the IT team to ensure seamless operation of IT and AV systems within the coworking spaces.- Monitor and manage inventory for office supplies, furniture, and other facility-related items.
Support the Facility Manager in budgeting, cost control, and financial reporting for facility-related expenses.
- Submit all the reports and invoices on time
Vendor Management:
- Liaise with vendors and service providers to ensure timely delivery of services and resolution of issues.
Conduct regular performance reviews of vendors and negotiate contracts to improve service quality and cost efficiency.
- Ensure timely submission of invoice and upload in the tools
Ensure compliance with contractual terms and conditions by vendors.Member Engagement:
Act as a point of contact for members regarding facility-related queries and concerns.
- Work closely with the community management team to understand and address member needs related to facilities and services.
Conduct client engagement activities in lies with FM and city manager- Gather feedback from members to continuously improve the quality of facility management and services.
Reporting and Documentation:- Maintain accurate records of facility operations, maintenance activities, and vendor performance.
Prepare regular reports on facility and soft services performance for senior management.- Ensure all statutory records, safety logs, and compliance documents are up to date and accessible.
Bachelor's degree in Facility Management, Operations, Business Administration, or a related field or Bachelor's degree with relevant experience in Facility operations- Minimum of 5 years of experience in facility management, preferably in a coworking or commercial real estate environment.
Strong understanding of soft services management, including housekeeping, security, and catering.
- Excellent communication, leadership, and interpersonal skills.
Ability to manage multiple tasks and priorities in a fast-paced environment.- Proficient in Microsoft Office Suite and facility management software.
Experience with coworking or managed space operations.- Knowledge of local building codes, safety regulations, and compliance requirements.
Strong problem-solving and decision-making abilities.
- Ability to work collaboratively with cross-functional teams.
