Job Summary:
We are seeking a proactive and organized Assistant Admin to join our team and provide administrative support to our office operations. The Assistant Admin will play a key role in assisting with various administrative tasks, ensuring smooth day-to-day operations, and contributing to the overall efficiency of the organization.
Responsibilities:
- Assist with the coordination and execution of daily administrative tasks, including managing correspondence, scheduling appointments, and handling phone calls.
- Maintain office filing systems, databases, and records, ensuring accuracy, organization, and confidentiality of information.
- Prepare and distribute internal communications, memos, and reports as needed.
- Assist in the coordination of meetings, conferences, and special events, including arranging venues, catering, travel accommodations, and logistics.
- Handle incoming and outgoing mail, packages, and deliveries, ensuring timely distribution and appropriate handling.
- Provide administrative support to departments and teams as needed, including data entry, document preparation, and project coordination.
- Assist with inventory management, ordering office supplies, and maintaining office equipment.
- Support HR functions, such as onboarding new employees, managing personnel records, and assisting with benefits administration.
- Collaborate with colleagues and supervisors to identify opportunities for process improvements and efficiency enhancements.
- Perform outdoor tasks as necessary in a quick and efficient manner.
- Adhere to company policies, procedures, and compliance requirements at all times.
Qualifications:
- High school diploma or equivalent; associate or bachelor's degree in Business Administration or related field preferred.
- Proven experience in an administrative support role, with a minimum of 1 year experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software applications.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong communication and interpersonal skills, with a customer service-oriented mindset.
- Attention to detail and accuracy in data entry and record-keeping.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexible and adaptable, with a willingness to take on new challenges and learn new skills.
- Familiarity with HR processes and procedures is a plus.
