Job Overview:The Appointment Booking Specialist is responsible for scheduling appointments efficiently and accurately. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks simultaneously. Appointment Scheduling: Coordinate and schedule appointments for clients/customers via phone, email, or online platforms.
- Customer Interaction: Respond to customer inquiries promptly and provide information about services, availability, and booking procedures.
Data Entry:
Accurately enter and update client information and appointment details into the system.Confirmations & Reminders:
Send appointment confirmations and reminders to clients/customers to reduce no-shows.Problem Resolution: Handle any issues or conflicts related to scheduling, ensuring customer satisfaction.
- Collaboration: Work closely with other departments to ensure availability and coordinate scheduling as needed.
Reporting:
Maintain accurate records of appointments, cancellations, and rescheduled appointments, and provide regular reports to management.
Education:
High school diploma or equivalent; additional education in administration or customer service is a plus.Experience:
Previous experience in a customer service or administrative role, preferably in appointment scheduling or related fields.Technical Skills: Proficiency in Microsoft Office Suite and appointment scheduling software (e.g., Calendly, Google Calendar, Zoom Meeting, Google Meet).
