Position Summary...

Demonstrates up-to-date expertise and applies this to the development, execution, and improvement of action plans by providing expert advice and guidance to others in the application of information and best practices; supporting and aligning efforts to meet customer and business needs; and building commitment for perspectives and rationales. Provides and supports the implementation of business solutions by building relationships and partnerships with key stakeholders; identifying business needs; determining and carrying out necessary processes and practices; monitoring progress and results; recognizing and capitalizing on improvement opportunities; and adapting to competing demands, organizational changes, and new responsibilities. Models compliance with company policies and procedures and supports company mission, values, and standards of ethics and integrity by incorporating these into the development and implementation of business plans; using the Open Door Policy; and demonstrating and assisting others with how to apply these in executing business processes and practices.

The People Services team is a dynamic and multi-functional team spanning across several pillars like Contact Center, Data Administration, Recruiting Services, Unemployment Claims, Canada HR alongside critical support teams like Transaction Support, Integrations, Quality Assurance, People Analytics & Reporting and Workday Configuration. This Bangalore based team collaborates and works together with our colleagues based out of Charlotte (North Carolina) and Bentonville (Arkansas) creating benchmarks around customer service delivery and a superior associate experience.

Job Description:

The Coordination Services Team Member is responsible for providing scheduling support for interviews and other recruitment activities within the organization. The incumbent will ensure that all interviews are scheduled effectively and efficiently and will work closely with the hiring managers and recruiters to ensure that all necessary arrangements are made in a timely manner. The role requires the incumbent to work in US hours.

Key Responsibilities:

  • Manage interview scheduling process. This includes coordinating with hiring managers and recruiters to schedule interviews in a timely manner.
  • Communicate with candidates to confirm interview schedules and provide necessary details.
  • Ensure that all necessary arrangements are made for interviews, such as arranging conference rooms and necessary equipment.
  • Coordinate with other internal teams as needed to ensure the smooth execution of recruitment activities.
  • Maintain accurate records of interviews and other recruitment activities.
  • Provide support to recruiters and hiring managers as needed.
  • Provide support in offer generation process
  • Provide Support in Immigration process transactions

Assists management with development of team and execution of strategies; identifying and collaborating with management on issues impacting workload or team; ensuring uninterrupted team functioning by coordinating workflow; setting priorities for work tasks; resolving questions and concerns within the team of responsibility; developing and updating training documentation; helping facilitate team meetings; and assisting in preparation of department metrics.

Resolves outstanding items by researching aged or open items in accounts; compiling reports to monitor productivity and status of backlogs; providing historical data for management to review.

Assists in ensuring compliance with local, state, and federal laws and regulations, and company

policies and procedures by analyzing and interpreting reports; implementing and monitoring human resource compliance processes; implementing action plans to improve performance; and ensuring confidentiality of information, documentation, and assigned records.

Ensuring all interview schedules, debriefs, contingencies & Quick Base entries are accurate. Prior hands-on experience on any ticketing tool would be an added advantage; Seamlessly coordinate and communicate with onshore counterparts in the daily operations so as to create a superior candidate experience; Ability to enhance the in-house tool's functionality via continuous improvement ideas; Good knowledge of excel and should be comfortable in managing multiple production trackers; Perform robust quality checks, set new benchmarks in service delivery and train new members as necessary; Excellent oral and written communication are a must; Needs to be available in the US Shift.

Requirements:

  • Bachelor's degree in any field
  • At least 1-2 years of experience in a similar role, preferably in a recruitment or HR organization
  • Excellent communication skills (verbal and written)
  • Ability to work independently and manage multiple tasks simultaneously
  • Strong attention to detail and organizational skills
  • Proficient in Microsoft Office applications, particularly Excel and Outlook
  • Must be willing to work in US hours

This is a full-time position and compensation will be commensurate with experience.
