Role Purpose
This office based role is to provide comprehensive administrative support to the business, collaborating with colleagues across different functions and within the global Administration team to ensure a smooth support service is provided to the business.
Main Responsibilities
- Provide general administrative support as required, including: collating/formatting information, binding, couriering, filing, faxing, photocopying, scanning, and answering telephone calls
- Organise travel and accommodation for team (including visas, currency, taxi bookings, office notification forms)
- Process expense claims in a timely manner as well as raise requisitions for invoices
- Maintain presentations, records, spreadsheets and databases
- Set up and assist with conference calls
- Maintain shared folders i.e. admin databases
- Welcome client visitors and visiting colleagues from other Wood Mackenzie offices, creating a positive impression in support of the Wood Mackenzie brand
- Work closely with other Administrators to share best practice and ensure comprehensive administrative support to the business
- Provide administrative cover for other Administrators and Reception as required
- Assist with catering requirements for client meetings as required
- Assist with in-office client event logistics incl. name tags, registration
- Any other duties as required of the role
About You
- Candidates should have experience providing administrative support to a large team in a professional environment.
- We are looking for a experience of 1-2 years as Administrator as this is an entry - level position.
- They should enjoy working in a pressured environment where tight deadlines are a regular occurrence
- A willingness to demonstrate initiative and progress current skillset
- Must have excellent communication and organisational skills
- Be able to prioritise effectively and proactively use their own initiative
- Proficient knowledge of Outlook and formatting of Word documents is required, as well as basic Excel and Powerpoint skills
Expectations
- This role is office based and the successful candidate will be expected to work the majority of their working week from one of our offices
- This role is expected to be a full-time role
- As a key contact for all team members, the candidate should be a great communicator with a proactive approach.
- The candidate should be comfortable working in an intensive environment where tight deadlines are a regular occurrence
- Excellent organization, adaptability and prioritisation skills will be needed to succeed in this position
- The candidate should have a customer-orientated approach
