Job Description

Key Responsibilities:


  • Administrative Duties
    :


    • Managing the trust's day-to-day operations, including organizing meetings, preparing agendas, and taking minutes.
    • Handling communications, including correspondence with trustees, beneficiaries, regulatory bodies, and other stakeholders.
    • Maintaining records and filing systems, including legal documents, financial records, and reports.

  • Compliance and Governance
    :


    • Ensuring the trust complies with all legal, regulatory, and governance requirements.
    • Assisting with audits and ensuring adherence to internal policies and external legal requirements.
    • Coordinating trustee meetings, ensuring accurate documentation, and following up on decisions and actions.

  • Financial Oversight
    :


    • Assisting in budget preparation, financial reporting, and the management of funds.
    • Coordinating with accountants or auditors to ensure proper financial management.
    • Handling payments, invoices, and receipts, and maintaining accurate financial records.

  • Trustee and Beneficiary Support
    :


    • Acting as a liaison between trustees and beneficiaries, ensuring clear communication and efficient handling of inquiries.
    • Supporting trustees in executing their responsibilities, including providing relevant information, reports, and updates.
    • Helping to process applications, grants, and distributions in line with the trust's objectives.

  • Policy Implementation
    :


    • Assisting in the development and implementation of policies and procedures for the trust.
    • Ensuring all decisions and actions align with the trust's mission, goals, and legal framework.

  • Event and Project Management
    :


    • Organizing and managing events, projects, and initiatives related to the trust's mission.
    • Monitoring project progress and ensuring that timelines and objectives are met.

  • Risk Management
    :


    • Identifying and mitigating risks associated with the trust's operations.
    • Ensuring that the trust's assets are properly safeguarded and managed.

  • External Relations
    :


    • Representing the trust in dealings with third parties such as legal advisors, government bodies, and beneficiaries.
    • Managing relationships with donors, partners, and stakeholders to ensure continued support for the trust's activities.
