Full Job Description
Key Responsibilities:
- Administrative Support:
- Manage calendar, schedule meetings, and coordinate appointments.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle travel arrangements, including booking flights, accommodation, and preparing itineraries.
- Communication Management:
- Act as the primary point of contact between the organization and internal/external stakeholders.
- Screen and prioritize incoming communications, including emails and phone calls.
- Draft and send emails and other correspondence on behalf of the organization.
- Meeting Coordination:
- Organize and prepare for meetings, including drafting agendas, gathering necessary documents, and taking minutes.
- Ensure follow-up on action items and manage deadlines effectively.
- Project Management:
- Assist in the planning and execution of projects initiated by the organization.
- Monitor project progress, prepare status reports, and communicate updates to relevant stakeholders.
- Confidentiality and Discretion:
- Handle sensitive information with the utmost confidentiality.
- Maintain a high level of professionalism and discretion at all times.
- Office Management:
- Ensure the office is well-organized and equipped with necessary supplies.
- Liaise with other departments and external partners to facilitate office operations.
- Event Planning:
- Assist in organizing company events, meetings, and conferences as required.
Qualifications
- Bachelor's degree in any field.
- Proven experience as an Executive Assistant or in a similar role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time-management skills.
- Strong verbal and written communication skills.
- Ability to work independently and prioritize tasks.
- High level of professionalism and confidentiality.
