Job Description

We are looking for a proactive and organized Administrative Assistant to directly support the Director. The ideal candidate will assist with editing price lists, managing correspondence, liaising with external vendors, and keeping comprehensive records. Expertise in Excel and proficiency in digital tools such as Zoom is essential. You will play a key role in ensuring smooth day-to-day operations, including calendar management and document handling.

Key Responsibilities

Document Management: Assist in editing and maintaining price lists, letters, and other official documents.

Vendor Coordination: Liaise with external vendors, ensuring effective communication and follow-up on orders, contracts, and other administrative matters.

Record Keeping: Maintain accurate and up-to-date records of all sales activities, vendor contracts, and other key documents.

Calendar Management: Organize and manage the Director's calendar, scheduling meetings, appointments, and coordinating events.

Digital Tools: Use tools such as Zoom for meetings and Excel for maintaining spreadsheets and reports.

Administrative Support: Provide general administrative support including answering calls, preparing reports, and assisting with special projects.

Data Entry: Accurately input and manage data in internal systems, ensuring all records are current and organized.

Requirements

Educational Background: Bachelors degree in any relevant field

Technical Skills: Proficiency in Microsoft Excel, Word, and Zoom. Knowledge of other digital tools is an advantage.

Organizational Skills: Strong attention to detail, with the ability to manage multiple tasks and deadlines.

Communication: Excellent verbal and written communication skills.

Experience: Prior experience in an administrative role, especially in the pharma or sales sector, is preferred.

  • Working Hours: 6 day work week, 9:30am-6:30pm in person. No WFH.
