This position will have responsibilities related to Administrative Assistant to serving Aimler Solutions and its affiliates as Aimler Solutions clients .
The position will be in Noida, India.
The Administrative Assistant will play a crucial role in supporting the smooth operation of our offices across different countries and time zones.
We are seeking a young and dynamic individual who can effectively communicate in English, manage administrative tasks across multiple international locations , and adapt to diverse cultures and time zones .
This position requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced, multinational environment.
Responsibilities:
Serve as a central point of contact for communication between international offices and facilitate collaboration.
Prepare and distribute reports, presentations, and other documentation across offices.
Create, design, and manage social media posts.
Conduct follow-ups on action items assigned during meetings and ensure timely completion.
Support the onboarding process of new employees, providing necessary resources and information.
Identify process improvements and implement streamlined systems for increased efficiency.
Coordinate executive leaderships calendar, appointments, and event invitations.
Manage travel arrangements for executive leadership.
Maintain confidentiality and handle sensitive information securely.
Draft individualized correspondence, including emails and other documents.
Manage communication, scheduling, and logistics for internal events and meetings.
Serve as the primary point of contact for vendors and maintain office supplies.
Design and implement office operations, policies, and procedures.
Provide support for HR-related tasks and assist with special projects across various departments.
Maintain organized and up-to-date physical and digital filing systems.
Take responsibility for general office upkeep, ensuring the cleanliness and functionality of common areas.
Arrange breakfast, lunch, and dinners for executives and meetings as required.
Assist other functional areas and members of the organizations leadership team with special projects as needed, such as marketing, development, finance, or programs.
Requirements:
A minimum of 3+ years of experience in an administrative support role, with experience supporting executives being a plus.
An undergraduate degree or equivalent experience.
A self-starter with a high degree of energy and careful attention to detail.
Strong sense of initiative and a process-improvement mindset.
Highly flexible, creative problem solver , with a strong ability to multitask.
Excellent oral and written communication skills.
Strong interpersonal skills and the ability to work effectively with individuals at all levels.

Superb organizational and time-management skills.
Excellent computer skills, with proficiency or advanced skill in Microsoft Suite (Word, Excel, PowerPoint, and Outlook), as well as experience with data management .
