Job Description

Key Responsibilities:
  • Office Management:
Maintain and organize office operations and procedures.
  • Handle incoming calls, emails, and other communications.
Manage office supplies inventory and place orders as necessary.
  • Coordinate and schedule meetings, appointments, and travel arrangements for staff.
Administrative Support:
  • Assist in the preparation of regularly scheduled reports.
Develop and maintain a filing system.
  • Update and maintain office policies and procedures.
Provide general support to visitors.
  • Assist in the onboarding process for new hires.
Project Support:
  • Assist project managers with administrative tasks related to construction projects.
Prepare and update project documentation, including contracts, proposals, and schedules.
  • Coordinate project-related communications between clients, subcontractors, and internal teams.
Track project deadlines and deliverables, ensuring timely completion.
  • Financial Duties:
Assist with basic bookkeeping tasks such as processing invoices and expense reports.
  • Coordinate with accounting department for financial documentation and reporting.
Communication:
  • Serve as the point of contact for internal and external clients.
Draft correspondence, emails, and other documents as required.
  • Qualifications:
Proven experience as an Administrative Assistant, Office Admin Assistant, or similar role.
  • Proficiency in MS Office (MS Excel and MS Word, in particular).
Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.
High School degree; additional qualification as an Administrative Assistant or Secretary will be a plus.
