Key Responsibilities: Maintain and organize office operations and procedures.- Handle incoming calls, emails, and other communications.
Manage office supplies inventory and place orders as necessary.
- Coordinate and schedule meetings, appointments, and travel arrangements for staff.
Administrative Support:
- Assist in the preparation of regularly scheduled reports.
Develop and maintain a filing system.
- Update and maintain office policies and procedures.
Provide general support to visitors.- Assist in the onboarding process for new hires.
Project Support:- Assist project managers with administrative tasks related to construction projects.
Prepare and update project documentation, including contracts, proposals, and schedules.- Coordinate project-related communications between clients, subcontractors, and internal teams.
Track project deadlines and deliverables, ensuring timely completion.
Assist with basic bookkeeping tasks such as processing invoices and expense reports.- Coordinate with accounting department for financial documentation and reporting.
Communication:- Serve as the point of contact for internal and external clients.
Draft correspondence, emails, and other documents as required.
Proven experience as an Administrative Assistant, Office Admin Assistant, or similar role.- Proficiency in MS Office (MS Excel and MS Word, in particular).
Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.- Strong organizational skills with the ability to multi-task.
High School degree; additional qualification as an Administrative Assistant or Secretary will be a plus.
