Job Summary:

The Administrative Executive plays a crucial role in ensuring smooth and efficient operation of the administrative functions within Beyoung.in. They are responsible for providing administrative support to various departments, managing office procedures, and maintaining organizational efficiency. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to multitask effectively.

Key Responsibilities:

  • Office Management: Oversee day-to-day office operations, including managing office supplies, equipment, and facilities. Ensure a clean, organized, and conducive work environment for employees.
  • Administrative Support: Provide administrative assistance to various departments as needed, including handling correspondence, scheduling appointments, and managing calendars.
  • Documentation and Filing: Maintain accurate records and files, both electronic and physical. Ensure confidentiality and security of sensitive information.
  • Communication: Serve as a point of contact for internal and external communications. Screen and direct phone calls and correspondence appropriately.
  • Meeting Coordination: Schedule and coordinate meetings, conferences, and appointments. Prepare meeting agendas, take minutes, and distribute materials as required.
  • Travel Arrangements: Arrange travel and accommodations for company executives and staff as necessary. Prepare travel itineraries and handle related logistics.
  • Data Entry and Reporting: Assist in data entry tasks and generate reports as needed. Compile, analyze, and present data in an organized manner.
  • Problem Solving: Address administrative issues and concerns in a timely and efficient manner. Anticipate potential problems and take proactive steps to resolve them.
  • Team Collaboration: Collaborate with colleagues and department heads to support cross-functional initiatives and projects. Foster a positive and collaborative work environment.

Requirements:

  • Bachelor's degree in Business Administration, Management, or related field preferred.
  • Proven experience in an administrative role, preferably in a fast-paced environment.
  • Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Attention to detail and high level of accuracy.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility and adaptability to changing priorities and situations
