Required Skills:
We are looking for well-organized personnel for an admin executive role with Facilio based in Chennai. The ideal candidate will be responsible for providing administrative support involving various day to day operations in a professional and timely manner.
- Minimum 2 years experience as an Admin executive with IT/ product based companies.
- Must be proficient in MS Excel and software tools.
- Exemplary planning and time management skills.
- Must have good verbal and written communications skills and should be able to clearly communicate with the team, vendor etc.
Roles & Responsibilities:
- Handle end-to-end administration of facilities and operations.
- Be the primary point of contact between the Facilio's employees for operations and admin related tasks.
- Coordinate with regional agencies and track and manage tax filing, Utility bill payments and other compliance for international offices (Dubai, Singapore, Australia, US).
- Manage day to day operations like food, office facilities, etc.
- Work with the finance team on reimbursements, tax, and compliance.
- Manage employee benefits like work from home facilities, gifts, team trips etc.
- Maintain a daily electronic journal, arrange meetings and appointments, and provide reminders as needed; maintain a master corporate calendar of all conferences, all-hands events, holidays, and vacations.
- Handle admin requests, feedback, and queries quickly and professionally.
- Arrange travel, hotel and dining arrangements as needed.
- Monitor office supply levels, reorder when appropriate.
- Maintain strong relationships with vendors and keep price data to get the best pricing on supplies and services.
- Produce professional-quality reports, presentations, and briefs.
- Develop and carry out an efficient documentation and filing system for both paper and electronic records.
