Key Responsibilities:- Supporting the General Manager / Deputy General Manager:
Document and Schedule Management:- Prepare, edit, and proofread correspondence, presentations, and reports as assigned.
Maintain filing systems (physical and digital) for regular meetings/discussions.- Manage reminders and ensure the GM/DGM is aware of important deadlines and events.
General Support:- Perform any other administrative tasks as directed by the GM/DGM.
- 2. Communication and Coordination:
Facilitate communication between the GM/DGM and other departments.
- Prepare meeting agendas, take minutes, and follow up on action items.
Draft emails and other correspondence on behalf of the GM/DGM.

Project and Task Management: Manage and track assigned projects and tasks with deadlines.- Assist with data collection and analysis of data for presentations and reports.
Prepare basic presentation and work-in-progress report assigned by GM/DGM.
- Coordinate with different departments to ensure project progress and completion.
- 4. Additional Responsibilities:
Maintain strict confidentiality regarding all sensitive information related to the GM and the company.
- Exercise discretion and professional judgment in all interactions.
Managing travel arrangements for the Managing Director, GM/DGM and other overseas guest visits.- Organizing and coordinating company events.
Support the GM and DGM in developing and implementing wellness programs for employees.
The Office Admin Assistant typically reports directly to the General Manager.
- Work closely with other administrative staff, executive assistants, and department heads.
The position requires strong organizational, communication, and interpersonal skills, as well as the ability to work independently and handle multiple tasks simultaneously.- Knowledge of the Spa and F&B industry and understanding of its specific terminology and trends is highly beneficial.

Minimum:
Diploma holderExperience:
Min 2 years of experience in an administrative or executive assistant role, preferably in a similar industry. Experience working directly with a senior executive is a plus.
Strong organizational skills:
Ability to manage multiple tasks simultaneously, prioritize effectively, and meet deadlines.Excellent communication skills:
Ability to communicate clearly and concisely both verbally and in writing.Interpersonal skills: Ability to build positive relationships with colleagues at all levels and maintain confidentiality.
- Technical skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software programs.
