Job Summary:
True North Agency is looking for an organized and proactive Operations and Admin Manager to support the smooth day-to-day functioning of our digital marketing agency. The ideal candidate will work closely with the founders to ensure effective office administration, seamless inter-departmental communication, and coordination. They will also assist with HR activities and vendor management, ensuring a productive and efficient work environment.
Key Responsibilities:
- Office Administration: Oversee general office management, including dealing with vendors, managing office supplies, coordinating with accountants, and addressing customer queries.
- Operational Support: Work closely with the founders to ensure smooth daily operations and support all departments to guarantee timely and high-quality output.
- Inter-Departmental Communication: Foster and maintain strong communication channels between departments to ensure efficient workflows and collaboration.
- Vendor Management: Liaise with external vendors and service providers, ensuring timely and cost-effective service delivery.
- HR Support: Assist in HR functions such as posting job ads, conducting initial interviews, scheduling interviews, preparing offer letters, and managing the orientation process for new employees.
- Coordination & Follow-Up: Ensure all teams are aligned on project deadlines, priorities, and deliverables, keeping track of progress and addressing any potential roadblocks.
- Financial Coordination: Collaborate with the accounting team for invoicing, payment tracking, and budget-related tasks.
- Founder Support: Provide administrative support to the founders, managing their schedules and assisting with internal and external communications.
Requirements:
- Experience: 3+ years of experience in operations, administration, or office management, preferably in a digital marketing or creative agency environment.
- Skills: Excellent organizational, multitasking, and communication skills.
- Interpersonal Skills: Ability to build strong relationships across all departments and maintain effective vendor and customer relations.
- HR Support Experience: Familiarity with basic HR processes such as recruitment, onboarding, and employee documentation.
- Tech-Savvy: Proficient with office software (e.g., MS Office, Google Workspace) and comfortable with HR and project management tools.
- Problem-Solving: Strong problem-solving abilities and proactive approach to handling operational challenges.
- Attention to Detail: Keen attention to detail in managing office operations and project coordination.
